REQUIREMENT REPORT:
User/participant Needs:
  • Ease of Searching- System must be easy to search for data
  • Time efficient- Must be less time consuming for consumers to search for necessary information within the store
  • Ease of editing for staff
  • More efficient for staff members when filing the data
  • Ease of transmission (Data can be easily retrieved from the online store, consumers as well as staff can simply see if the data is available)
  • Utilise Microsoft Access as a powerful technological tool for the business
  • Decreasing the amount of time spend on filing for staff
  • Increasing efficiency within the store and online store. Customers are able to quickly adapt to the system and find their favourite songs quickly.
  • Ease of training staff to use the new system
  • Simple manipulation of music details if changes need to be made
  • Ease of storage of the database into a server
  • Simplicity of searching for songs, artists or albums
  • Ability to easily tell if the stock is within the store or not. Especially when customers call “Music Online”.

Data Output:
Information required:
  • The output depends on the client needs and what the client searches for.
  • Some information obtained by the client can include:
    • Name of the artist, album and relase year (if input was the song title)


FEASIBILITY STUDY:

  • Technical Feasibility:

The old system has simply stored the song titles within the stores computer. This then needs to be transferred to the new system alongside other information (Artists name, album name, track number, record label, year of publication).

General Design Specifications for workstations

  • Pentium 4 Processor , equivalent or better
  • Universal Serial Ports (USB 2.0) support a minimum of 4 ports (Most modern interfaces such as keyboard, mouse and monitors use this. If more ports are required, then a USB hub can be easily attached to the system).
Memory
  • 1Tb minimum is highly recommended
Hard Disk
  • 1tb or greater
  • 3 year warranty
LCD Monitor
  • 17"- 20" LCD (Liquid Crystal Display)
  • USB hub built into the monitor for easy accessibility for devices such as flash drives
  • Low power consumption
Keyboard
  • Ergonomic essential (RSI)
Mouse
  • Optical 2 button + 1 scroller, as a minimum

  • Schedule Feasibility:

The recommended time frame to complete all the necessary processes within this new system and it's implementation is 3 months. This is a suitable time for the project as it will entail the development of the database, establishment of the online database, data entry, staff training and introduction of the system.

Conclusion: It is possible to achieve the new system being implemented into the company by using appropriate management strategies that will to ensure that all the stages are kept to the schedule.

RECOMMENDATIONS FOR THE NEW SYSTEM:

  • Build the new online database using Microsoft Access
  • All appropriate information about the data is stored
    - Song title - Artist - Album name - Time of song - Genre - Music label - Year of Release - Track number
  • WAN connecting to users computers to access the database
  • Using the specified hardware
- System board -Memory -Hard disk -LCD monitor -Keyboard -Mouse


Alternative Solutions:
  • Different conversion methods, i.e. parallel, phased.
  • Different network connection, i.e. LAN.
